Go to ➕ Manage People on the main admin page. There are two types of users- admins and employees. In order to track time works from the employee dashboard, you must be in as employee.

Add users
• Click “Add Employee” or “Add Admin”
• Enter name, email, and other fields
• Save

Deactivate user
• Click Deactivate
• They immediately lose login access

Reactivate
• Click Activate to restore access

Delete
• Removes the record from the system

Billing impact
Only active users count toward your paid seat count: • owner • active admins • active employees

The HR Vault stores employee details in one place.

You can keep:
• contact information
• roles and status
• birthdays
• anniversaries
• job/department notes
• project assignments

This replaces spreadsheets and scattered documents.

Time can be entered in 3 ways:
• employees log in to computer or mobile device and use In/Out punch buttons
• admins can use In/Out punch buttons from their dashboard, useful when in the field
• admins can type times manually into fields

Other key features:
• ➕ Add a Day creates new rows
• break minutes subtract from hours, so be sure employees are aware of this when clicking the button from their device
• totals update automatically

Overtime support includes:
• weekly rules
• daily overtime- coming soon
• daily double-time where applicable- coming soon

GPS punching (if enabled) captures device location when clocking in/out.
• to turn GPS on, go to setting and toggle on and save
• note that GPS tracks the location of a punch from the employee page, it does not track before or after
• employees must click accept for GPS to work
• GPS location at time of punch will update to last location

Employees submit PTO requests in the PTO page from their device.

Admins may:
• approve requests, they will see a bar across the top upon log in
• deny requests
• remove requests (note that if an admin removes an approved request from the dashboard, the employee must click cancel from their screen to get the balance refunded

Approved PTO updates:
• show on the PTO calendar so the admin(s) can see who is off
• show in the team capacity overview
• show in the employee record on their dashboard

Setting PTO up:
• admins click on manage people and then full employee list
• click on the PTO icon and choose accrual or assign
• Accrual means PTO balance grows at the rate the admin chooses, and assign means the employee gets a set amount of hours for the year

Capacity bars help prevent scheduling too many people off at once.

Projects organize work and accountability and provide transparency.

Inside each project you can create new or go to settings and choose a template or create your own:
• add tasks
• assign task owners (employees will see projects they are working on in their dashboard by clicking projects after logging in
• set due dates
• mark status and completion %
• track hours against tasks or project and click the billing icon when it's time to generate an invoice
• the admin will see the row added to their dashboard and from there, click generate invoice

Project templates are configured in Settings and allow you to quickly get started with basic business ones or create your own for repeatable project types.

SOPs document how work should be done consistently to ensure timeliness, efficiency and no duplicate work.

You can:
• create SOPs from scratch each time or create and save templates
• duplicate templates
• update revisions with timestamps, who changed it and what they changed
• control access by role or visibility setting

This improves training and process quality.

Goals connect strategy to execution.

You can:
• define target metrics
• assign owners
• update actual performance vs targets by clicking add month and typing in the results
• view progress over time

This helps align team execution with company objectives.

From the Time Clock page, click 🧾 Generate Invoice.

You can:
• select which entries in the invoice summary at the bottom
• if you bill for time off, leave PTO on, if not, toggle it off
• click generate invoice and fill in the necessary fields, add a logo and pay rate

Your subscription is handled securely through Stripe.

• free trial starts automatically and are 14 days long
• once trial ends, you are prompted to upgrade
• payment methods are stored in Stripe
• you can update card and view invoices there

Seat counts include:
• owner +
• active admins +
• active employees

Deactivated and deleted users do not count toward billing. Note that if you delete a user, all data is permanently gone. If you're unsure, make sure you simply deactivate.
